Refund and Cancellation Policy

Effective Date: November 12, 2025

Aegis Sentinel operates on a subscription-based model with monthly or annual billing cycles. You can cancel your subscription at any time from your account dashboard—no lengthy processes or phone calls required.

1. Free Trial Period

We offer a 14-day free trial for new customers to evaluate Aegis Sentinel risk-free.

During your free trial:
  • Full access to all features of your selected plan
  • No credit card required to start
  • No automatic charges—we’ll remind you before trial ends
  • Cancel anytime with no obligation

After 14 days, you’ll be prompted to enter payment information to continue your subscription. If you don’t upgrade, your account will simply expire—no charges, no penalties.

2. Subscription Cancellation

You may cancel your Aegis Sentinel subscription at any time, for any reason.

How to Cancel

  1. Log in to your Aegis Sentinel account
  2. Navigate to Settings > Subscription
  3. Click Cancel Subscription
  4. Provide optional feedback (helps us improve)
  5. Confirm cancellation
No phone calls required. No retention specialists. No hassle.

What Happens After Cancellation

Monthly subscribers:

  • Cancellation takes effect at the end of your current billing period
  • You retain full access until that date
  • No further charges will be made
  • You can download all reports before access ends

Annual subscribers:

  • Cancellation takes effect at the end of your annual term
  • You retain full access for the remainder of your paid year
  • No partial refunds for unused months
  • Next year’s renewal will not process

Can I Pause Instead of Cancel?

Yes! If you need to temporarily pause your subscription (seasonal business, renovation, etc.), contact us at support@aegistechnologies.tech. We can work out a pause arrangement that preserves your data and configuration.

3. Refund Policy

14-Day Money-Back Guarantee

We offer a full refund if you’re not satisfied within the first 14 days of your paid subscription.

No questions asked. If Aegis Sentinel isn’t the right fit, we’ll refund your payment in full.

To request a 14-day refund:
  1. Email support@aegistechnologies.tech within 14 days of your first payment
  2. Include your account email and reason for cancellation (optional)
  3. We’ll process your refund within 5-7 business days

Refunds After 14 Days

After the 14-day money-back guarantee period, refunds are evaluated on a case-by-case basis and may be granted at our sole discretion under these exceptional circumstances:

Eligible for consideration:

  • Critical service failure: Aegis Sentinel has a documented, verifiable malfunction that prevents the service from working as described, and our support team is unable to resolve it within a reasonable timeframe
  • Billing errors: You were charged incorrectly or multiple times due to our payment processing error
  • Service outages: We failed to meet our 99.9% uptime SLA due to outages on our end

Not eligible for refunds:

  • Change of mind (“I no longer need this”)
  • Lack of usage (“I forgot I had this subscription”)
  • Buyer’s remorse (“I chose the wrong plan”)
  • Incompatibility issues known during free trial
  • Internet connectivity issues on your end
  • Failure to cancel before renewal

How to Request a Refund (After 14 Days)

Email support@aegistechnologies.tech with:

  • Your full name and account email address
  • Your order/invoice number
  • Detailed explanation of the exceptional circumstance
  • Supporting documentation (screenshots, error logs, etc.)

We review all refund requests within 2-3 business days. If approved, refunds are processed within 5-7 business days to your original payment method.

4. Subscription Renewals

Automatic Renewal

Subscriptions renew automatically to ensure uninterrupted protection:

  • Monthly subscriptions: Renew on the same day each month
  • Annual subscriptions: Renew one year from your original purchase date

Renewal Reminders

We send renewal reminder emails 7 days before your billing date. This gives you time to:

  • Review your current plan
  • Upgrade or downgrade as needed
  • Cancel if you no longer need the service
⚠️ Important:

It is your responsibility to cancel before the renewal date if you do not wish to continue service.

No Refunds for Renewals

Once a subscription renewal payment is processed, it is non-refundable. This is why we send multiple reminders before charging you.

Exception: If you can demonstrate that you did not receive our renewal reminder emails due to an error on our end, we may consider a refund request.

5. Downgrades and Upgrades

Upgrading Your Plan

Upgrades take effect immediately. You’ll be charged a prorated amount for the remainder of your current billing cycle.

Example: You’re on the Pro plan ($99/month) and upgrade to Business ($150/month) on day 15 of your billing cycle. You’ll pay approximately $25 (half of the $50 difference) and get Business features immediately.

Downgrading Your Plan

Downgrades take effect at the end of your current billing period. You continue to enjoy your current plan’s features until then.

Example: You’re on the Business plan and downgrade to Pro on day 10 of your billing cycle. You keep Business features for the next 20 days, then switch to Pro when your next bill is due.

6. Data Retention After Cancellation

Upon cancellation:

  • Your monitoring stops at the end of your paid period
  • Your data is retained for 90 days in case you return
  • You can download all reports before your access ends
  • After 90 days, all data is permanently deleted (per our Privacy Policy)

Reactivating within 90 days:

  • All your devices, settings, and historical data are restored
  • No setup required—pick up right where you left off

7. Failed Payments

If a subscription payment fails (expired card, insufficient funds, etc.):

  1. We’ll retry the charge automatically 3 times over 7 days
  2. You’ll receive email notifications about the failed payment
  3. Your service continues during the retry period
  4. After 3 failed attempts, your account is suspended

To reactivate after suspension:

  • Update your payment method in Settings > Billing
  • We’ll process the outstanding payment
  • Your service resumes within 1 hour
No reactivation fees. No penalties.

8. Chargebacks

⚠️ Please contact us first

If you have a billing concern, please reach out to us before initiating a chargeback with your bank.

Initiating a chargeback or payment dispute with your bank without first contacting us will result in:

  • Immediate account termination
  • Loss of all data and access
  • Potential inability to use Aegis Sentinel in the future
